Buildertrend alternatives for GCs (2026): when the homeowner is not the hard part

Buildertrend is built around the homeowner: selections, a client portal, a sales pipeline before the job and warranty work after it. If that is your business, it is hard to beat. If your money leaks somewhere else, a Buildertrend alternative may fit better.

By the SyteNav team

SyteNav builds construction management software around the job-cost, billing and field-record problems small contractors face every day.

The short version

  • Buildertrend describes itself as built for custom and semi-custom home builders, remodelers and design-build firms. A lot of what you pay for is the homeowner side.
  • Its pricing is a custom quote based on builder type, annual revenue and business needs, with unlimited users. Ask for the quote against your real revenue before comparing anything.
  • If your losses come from sub billing, change orders and budgets drifting, compare on those first - not on the client portal.
  • Switching costs are mostly the jobs already running. Move one job all the way before the rest.

This guide is published by SyteNav, which is one of the alternatives described below. We have tried to write it the way we would want it written about us - including the cases where Buildertrend is the better answer. Every claim we make about Buildertrend links to Buildertrend’s own pages and says what those pages say, as of October 2026.

What Buildertrend is built for

Buildertrend’s own comparison page positions it for custom, semi-custom and luxury home builders, remodelers and design-build firms, and says it also handles light commercial work. Its product covers the whole arc of a residential job: leads and sales before the contract, estimating, scheduling, job costing and change orders during it, a homeowner portal with selections and online payments throughout, and warranty work after handover.

That is a coherent shape. A remodeler selling twenty kitchens a year spends real time on the homeowner - choices, approvals, questions, payments - and a system that organises the homeowner is worth a great deal to them.

On price, Buildertrend’s pricing page describes a custom quote set by builder type, annual revenue and business needs, with unlimited users and every feature included rather than sold as add-ons, paid quarterly or annually. Because the quote scales with revenue, two companies of similar size can be quoted very differently, so any figure in a blog post is somebody else’s deal.

Why GCs look for a Buildertrend alternative

The reasons we hear are rarely "it does not work". They are about fit.

  • THE CLIENT SIDE IS NOT WHERE THE MONEY LEAKS. A GC doing light commercial or spec work may have one owner contact and no selections at all. The pain is subs billing past contract, change orders that never reach the budget line, and a job cost picture that is a month old.
  • THE PRICE IS TIED TO REVENUE, NOT TO WHAT YOU USE. A company with high revenue and thin margins - a lot of pass-through material, say - may be quoted for volume it does not feel.
  • THE SALES PIPELINE IS ALREADY SOMEWHERE ELSE. If leads live in a CRM you like, a built-in one is a second place to keep them.
  • THE FIELD WILL NOT OPEN IT. True of every system in this category, and the most common reason any rollout dies quietly. It is a question about your crew as much as the product.

Write down your five leaks first

Before any demo, list the last five things that cost you money: the unsigned change order, the sub who billed past contract, the lapsed insurance certificate, the double-booked Thursday, the Sunday spent rebuilding a budget. Score every product against those five only.

The kinds of alternative

Enterprise platforms

In our view, Procore and its peers are built around commercial project teams: heavy RFI and submittal volume, a design team in the loop, dedicated project engineers. They are the right answer when an owner requires them, and a heavy one otherwise. Our Procore guide covers when that trade is worth it.

Other residential platforms

Products in Buildertrend’s own lane, aimed at home builders and remodelers. If the homeowner experience is what you value, compare these head to head on the client portal, selections and how deep the job costing goes - that last one is where they differ most.

Accounting-first systems

Built outward from job cost accounting. Strong if your problem is that you cannot see what a job has cost until month end. Usually weaker in the field, so crews end up in a separate app.

Field-first systems that carry the money

The category SyteNav is in: the quote becomes the budget, the budget receives the sub bills, the bills become the client invoice, and the field writes to the same job. Less on selling to a homeowner; more on keeping the job’s money true.

When Buildertrend is the right answer

  • You build or remodel homes, and the homeowner is the hardest part of the job to manage.
  • Selections and allowances drive your change orders. That workflow is central to what Buildertrend is built for.
  • You want one system from the first sales call to the warranty visit.
  • Your accounting runs both ways through QuickBooks. Buildertrend’s help pages describe a two-way QuickBooks Online integration: bills and invoices go to QuickBooks, and payments applied there come back.

If most of those are true, looking for an alternative is probably the wrong project. Get the quote and spend the effort on setup instead.

Two different shapes of business

Buildertrend is likely the fit

  • Custom homes and remodels, sold to homeowners
  • Selections and allowances on every job
  • A sales pipeline you want inside the same system
  • Two-way accounting sync is a requirement

Look at an alternative

  • Light commercial, spec or GC work for one owner contact
  • Money leaks through sub billing and change orders
  • Leads already live in a CRM you are keeping
  • You need to be running on it next week

How to run a trial that tells you something

  1. Pick one live job that is already messy. A clean new job proves nothing.
  2. Put the real budget in, including the lines you fudge.
  3. Enter the last three sub invoices you received, from the PDFs they sent. Count the typing.
  4. Have one foreman file three daily logs from a phone with no training.
  5. Raise one client invoice from the costs already recorded and check the number without a calculator.
  6. At the end of two weeks, answer in under a minute: what has this job cost, what is committed, and what is not on a budget line.

Where SyteNav fits

SyteNav is built for general contractors whose money leaks between the quote and the invoice, whether they run a few jobs or a few dozen: quotes scanned in by AI so line items are not retyped, budgets that receive sub bills directly, sub invoices checked against the quote they were awarded on, change orders that raise the budget line and the subcontract they belong to, and client invoices built from costs already recorded. Subs and clients get links rather than logins. Plans start at $99 a month with unlimited team members, subs and clients - you buy project capacity, not seats - and SyteNav is invite-only, with your first 15 days free.

What it does not do, and where Buildertrend is ahead: it has no sales pipeline or lead tracking, no warranty module, and its QuickBooks integration is a one-way push from SyteNav into QuickBooks Online rather than a two-way sync. If those are what you need, Buildertrend is the better fit and we would rather say so here.

Common questions

How much does Buildertrend cost?
Buildertrend does not publish a price list. It describes a custom quote based on builder type, annual revenue and business needs, with unlimited users, rather than a fixed price list. The only reliable number is the quote you are given for your own revenue, so get it before you compare.
Is Buildertrend good for commercial work?
Buildertrend says it handles light commercial work, and its comparison page positions it mainly for home builders, remodelers and design-build firms. For commercial work with heavy RFI and submittal volume, an enterprise platform is built for that; for light commercial where the pain is money, a field-first system that carries the budget may suit better.
What is the hardest part of switching from Buildertrend?
The jobs already running. A job at 60% needs its budget, awarded subs, spent costs and open change orders entered before anything the new system says is true. Finish closing jobs where they are, and start new ones in the new system.
Is there a free Buildertrend alternative?
Free tiers exist among single-purpose tools - scheduling, storage, basic invoicing - and they work for a single crew. What none of them does is tie the money to the work. SyteNav is invite-only with your first 15 days free and published plans after that, which is not the same as a permanently free plan.
