The short version
- Knowify’s homepage describes construction management software for trade contractors, and its own review page says it is not built for enterprise general contractors coordinating many subs on large commercial jobs.
- It is strong on contracts and billing: fixed price, cost-plus, time and materials and AIA progress billing with schedules of values and retainage.
- Its pricing page lists per-user plans with a base number of users included, plus a custom enterprise tier, with a free trial and no implementation fee.
- Its QuickBooks Online sync is described as two-way for most records. For a GC, the deciding test is sub management: awarding, sub bills and change orders that move a subcontract.
This guide is written by SyteNav, a competitor. Statements about Knowify link to Knowify’s own pages and say what those pages say, as of October 2026. Knowify is a good product for the company it is built for; most of this guide is about whether that company is you.
What Knowify is built for
Knowify’s homepage describes it as construction management software for trade contractors doing commercial and residential work, and it has pages for HVAC, plumbing, electrical, painting, concrete and excavation. It covers both project work and service work, with a service dispatch add-on.
Knowify’s own guide to trade contractor software is unusually candid about the limit: it says Knowify is not built for enterprise general contractors coordinating dozens of subs on large commercial jobs. That is the honest place to start a comparison.
Where it is strong is the contract and the bill. Its estimates guide describes fixed-price, cost-plus, time-and-materials and AIA contracts, and its pricing page lists AIA progress billing with a schedule of values, retainage and change order reconciliation, where you enter percent complete and stored materials and it does the rest.
What Knowify costs
Knowify’s pricing page lists two published plans and a custom enterprise tier. The entry plan includes one user and the next includes ten; additional users are charged per month on both, and annual billing is cheaper than monthly. The enterprise tier is quoted, with unlimited users and onboarding sessions. Job costing, project planning and WIP reporting are on the middle plan; RFIs, submittals and QuickBooks Desktop sit on enterprise. It lists a free trial on every plan, no contract and no implementation fee.
For a trade contractor with a few office users this is good value. For a GC, check which tier carries job costing, because that is the feature you are buying the system for.
Why general contractors look for a Knowify alternative
- THE SUB SIDE IS THIN FOR A GC. Knowify can issue subcontracts from a project plan, but a GC’s whole job is the loop around them: request quotes, compare, award, receive bills, check them against the award, move them with change orders.
- THE VENDOR SAYS SO. Its own review page draws the line at large GCs coordinating many subs. A smaller GC with the same shape of work hits the same edge sooner than they expect.
- TIER FOR THE FEATURE. Job costing on the middle plan means the GC’s core feature carries the larger price.
- FIELD RECORD. Knowify’s mobile app covers schedules, tasks, photos, expenses and time. A GC who needs daily logs as evidence for pay applications and change orders should check how far those go.
When Knowify is the right answer
- You are a trade contractor - you self-perform, and subs are the exception.
- You bill on AIA pay applications to GCs and want them generated from the schedule of values.
- You run service work alongside projects.
- QuickBooks is your record and you want a two-way Online sync, or Desktop on the enterprise tier.
Knowify is likely the fit
- Trade contractor, mostly self-performing
- Billing GCs on AIA pay applications
- Service and project work together
- Two-way QuickBooks Online sync
Look at a GC-first alternative
- You award and manage several subs per job
- Sub bills need checking against what was quoted
- Change orders must move the sub’s contract and the budget
- You need sub pay applications as well as your own
What a GC should test
- Send a quote request for one trade to three subs and compare the answers side by side.
- Award one, then enter a real bill from them with one rate above the quote.
- Raise a change order for that sub and check both their contract and the budget line moved.
- Build a sub’s pay application against their schedule of values and certify it.
- Bill the owner for the same period from the costs you just approved.
Where SyteNav fits
SyteNav is built for general contractors whose money leaks between the quote and the invoice, whether they run a few jobs or a few dozen - the GC on the other side of the subcontract Knowify’s customers sign. Quote requests go to subs, quotes are scanned and compared, awards become subcontracts and budget lines, sub bills are checked against the award, and change orders raise the subcontract and the budget together. Pay applications run in both directions: a sub billing you against their scope, and you billing the owner on a G702 and G703. Plans start at $99 a month with unlimited team members, subs and clients - you buy project capacity, not seats - and SyteNav is invite-only, with your first 15 days free.
What it does not do, and where Knowify is ahead: SyteNav has no service dispatch, no time-and-materials contract type built for a trade, no QuickBooks Desktop, and its QuickBooks integration is a one-way push from SyteNav into QuickBooks Online rather than a two-way sync. If you are the trade rather than the GC, Knowify is built for you and we are not.
